Privacy Policy
This policy explains what information Public Witness Scheduler ("PWS", "the Service") collects, how we use it, and the choices you have. PWS is owned and operated by Peninsula Logic, LLC ("we", "us"). Plain language is the goal — if anything is unclear, email jtucker@peninsulalogic.com and we'll explain.
What we collect
- Account profile. Name, email address, phone number, mailing address, profile picture, timezone, role (admin / captain / volunteer), and which congregation you belong to. Most of this is supplied by your congregation admin when they create your account; you can edit it from My profile.
- Scheduling activity. Shifts you create, sign up for, or are assigned to; the locations and helper congregations you authorize; attendance records logged by captains.
- In-app messages. The text and any file attachments of messages you send through PWS, plus the sender, recipients, timestamps, and read state.
- Notification preferences. Which email reminders you have opted into (24-hour, 1-hour, new messages).
- Operational data. Your IP address, browser user agent, and request timestamps appear in our web server logs (typical 30-day retention) so we can investigate errors and abuse.
- Cookies. One session cookie keeps you signed in. We don't use third-party tracking or advertising cookies.
What we do with it
- Run the Service: show you your shifts, deliver messages, send the email reminders you opted into, and let administrators manage their congregation's schedule.
- Operate and protect the Service: investigate bugs, prevent abuse, and respond to security incidents.
- Communicate with you about the Service when needed (account issues, scheduled maintenance, changes to these policies).
We do not sell your personal information. We do not use it for advertising. We do not share it with third parties for their own purposes.
Who can see your information
- Your congregation admins and captains can see your name, contact info, role, and shift activity for the congregations you belong to.
- Other publishers in your congregation can see your name and shift signups so they know who they're scheduled with.
- Helper congregations see your name and contact info only if you have opted in to helping them and have signed up for one of their shifts.
- Peninsula Logic, LLC staff have administrative access for support and operations purposes.
Service providers
PWS runs on commercial cloud infrastructure (currently Linode / Akamai) and sends email through a transactional email provider. These providers process your information only as needed to host and deliver the Service; they do not use it for their own purposes.
Calendar feeds and shareable links
If you subscribe to your shifts in your calendar app, PWS issues you a signed URL that includes a token tied to your account. Anyone with that URL can view your upcoming shift list, so treat it like a password. Replace it by signing out and back in if you ever share it by accident.
Retention
We keep your data while your account is active. If your account is deactivated, your records remain in the database (so historical shifts and message threads stay coherent for the other publishers you worked with) but you no longer appear in member lists or receive emails. You can request full deletion of your personal information by emailing us; we'll confirm your identity, then delete or anonymize where deletion would break shared records.
Security
All traffic is served over HTTPS. Passwords are stored using Django's salted hashing (PBKDF2 + SHA256). Database backups are encrypted in transit and at rest. No system is perfectly secure, however; please use a strong, unique password and notify us immediately at jtucker@peninsulalogic.com if you suspect a security incident.
Children
PWS is intended for users 13 years of age and older. We do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, please contact us and we will delete it.
Your choices
- Edit your profile and notification preferences at any time from My profile.
- Ask your congregation admin to deactivate your account, or email us directly.
- Request a copy of your information, or request its deletion, by emailing jtucker@peninsulalogic.com.
Changes to this policy
We will post an updated effective date at the top of this page when the policy changes. Material changes will be announced by email to active users and on the home page.
